Office Administrator Position Overview
We are looking for a highly organized and proactive Office Administrator to be the heartbeat of our daily operations. In this role, you will be the first point of contact for guests and the go-to person for our internal team. You’ll handle everything from coordinating office logistics and managing supplies to supporting executive workflows.
The ideal candidate is a master multi-tasker who thrives in a fast-paced environment and takes pride in creating a seamless, welcoming experience for everyone who walks through our doors.
Key Responsibilities
- Front-of-House Management: Greet clients and visitors, manage incoming calls, and handle all mail/courier distributions.
- Operational Support: Maintain and order office supplies, snacks, and equipment to ensure the team has everything they need to succeed.
- Facility Coordination: Act as the primary liaison with building management, cleaning services, and external vendors.
- Meeting & Event Logistics: Coordinate boardroom bookings, organize catering for lunch-and-learns, and assist in planning company social events.
- Administrative Assistance: Support various departments with data entry, filing, expense reporting, and basic document preparation (PowerPoint/Word).
- Onboarding Support: Assist HR in setting up workstations and preparing welcome packages for new hires.
Minimum Requirements
- Experience: 2+ years of experience in an administrative, reception, or office management role.
- Tech Savvy: Proficiency in Microsoft Office (Word, Excel, Outlook) and/or Google Workspace.
- Communication: Exceptional verbal and written communication skills with a professional demeanor.
- Organizational Skills: Proven ability to prioritize tasks, meet deadlines, and manage a high volume of requests without losing attention to detail.
- Problem-Solving: A “can-do” attitude with the ability to troubleshoot minor office issues independently.
- Education: High school diploma required; Associate’s or Bachelor’s degree preferred.
